Privacy Policy

We take your privacy seriously here at Quantyra Forgeverse Fitness

Last Updated: October 30, 2025

Hey there! Look, we get it - privacy policies can be a real snooze-fest. But since you're trusting us with your fitness journey (and your personal info), we figured you deserve to know exactly what we do with your data.

This policy covers Quantyra Forgeverse Fitness, located at 1285 Pacific Boulevard, Vancouver, BC V6Z 2X5, Canada. We're all about transparency here, just like we are with your training progress.

By using our services, website, or just walking through our doors, you're agreeing to this policy. If something doesn't sit right with you, let's talk about it - shoot us a message at info@quantyraforgeverse.info.

Personal Details

When you sign up or book classes, we'll need the basics - your name, email, phone number, address, date of birth, and emergency contact info. Pretty standard stuff that helps us keep you safe and in the loop.

Health & Fitness Data

Since we're dealing with high-performance training, we gotta know about any medical conditions, injuries, fitness goals, and your current fitness level. Your personal trainer needs this to make sure they're not pushing you in the wrong direction. We also track your workout progress, attendance, and performance metrics - that's how we help you crush those PRs.

Payment Information

Credit card details, billing addresses, membership plans - the usual stuff to keep your membership active. We use secure third-party processors for this, so we're not storing your full card details on our end.

Website & Facility Usage

Our website collects IP addresses, browser types, and how you navigate around. In the gym, we've got security cameras rolling (nobody wants their equipment stolen), and we track facility access through our check-in system.

  • Service Delivery: Managing your membership, scheduling classes, providing personalized training programs, and making sure you're getting the most out of your time here.
  • Communication: Sending class reminders, schedule changes, billing notices, and occasional updates about new programs or events. We're not gonna spam you with nonsense.
  • Safety & Security: Monitoring facility access, responding to emergencies, and keeping the space safe for everyone who trains here.
  • Improvement: Analyzing how our programs are working, what classes are packed, and where we can do better. Your feedback actually matters to us.
  • Legal Compliance: Meeting Canadian privacy laws, tax requirements, and keeping records as required by law.

We're not selling your info to random companies, period. But there are some situations where we need to share data:

Service Providers

Payment processors, scheduling software, email platforms - basically the tech that keeps us running smoothly. They only get what they need to do their job, and they're bound by strict confidentiality agreements.

Legal Requirements

If the law says we gotta hand over information (court orders, investigations, that kind of thing), we will. We'll always try to let you know unless we're legally prohibited from doing so.

Emergency Situations

If there's a medical emergency, we're sharing your emergency contact info and relevant health details with first responders. Your safety comes first.

Business Transfers

If we ever sell the business or merge with another gym (not planning on it, but you never know), your data would transfer to the new owners under the same privacy protections.

We take security seriously - not as seriously as proper squat form, but close. Here's what we do to protect your data:

  • Encrypted data transmission (that's the little lock icon in your browser)
  • Secure servers with regular backups
  • Limited staff access - only people who actually need your info can see it
  • Regular security audits and updates
  • Physical security measures at our facility (locked offices, secure document storage)
  • Staff training on privacy and data handling

That said, nothing's 100% bulletproof. If there's ever a data breach, we'll let you know right away and tell you what steps to take.

Under Canadian privacy laws (PIPEDA, for those keeping track), you've got some solid rights when it comes to your personal data:

Access Your Data

You can ask to see what info we have on you. We'll provide it within 30 days, usually sooner.

Correct Inaccuracies

Got a new phone number? Address changed? Let us know and we'll update it. You can do most of this through your member portal too.

Delete Your Data

Once your membership ends and any legal retention periods are done, you can ask us to delete your info. Some stuff we gotta keep for tax purposes, but we'll explain what and why.

Opt-Out of Marketing

Not interested in hearing about new classes or events? No problem - just click unsubscribe on any email or tell us directly. You'll still get the important stuff like billing notices.

Withdraw Consent

Changed your mind about something you agreed to? Let us know. Just keep in mind that for some things (like health info for training purposes), withdrawing consent might mean we can't provide certain services safely.

Our website uses cookies - not the kind you eat after a tough WOD, the digital ones. Here's the breakdown:

Essential Cookies

These keep the site working - handling logins, remembering your cart, that stuff. Can't really turn these off without breaking things.

Analytics Cookies

We use these to see how people use our site - what pages are popular, where folks are getting stuck. Helps us make the site better. You can opt out of these if you want.

Marketing Cookies

Sometimes we'll use cookies to show you relevant ads if you've checked out our site. You can block these through your browser settings.

Most browsers let you control cookies - check your browser settings if you want to manage them. Just know that blocking some cookies might make the site wonky.

We don't keep your data forever - that'd be creepy and unnecessary. Here's how long we hold onto different types of info:

  • Active Member Data: As long as you're training with us, plus we keep some basics for a year after you leave in case you want to come back (happens more often than you'd think).
  • Financial Records: Seven years - that's what Canadian tax law requires.
  • Health & Safety Records: Seven years after your last visit, mostly for liability reasons.
  • Marketing Lists: Until you unsubscribe or we clean house (usually every couple years).
  • Security Footage: 30 days unless there's an incident that needs investigation.

After these periods, we securely delete or anonymize your data. If you want something deleted sooner (and we can legally do it), just ask.

Our programs are designed for adults (18+) and youth athletes with parental supervision. If you're under 18, we need a parent or guardian to sign off on your membership and provide consent for data collection.

For youth members (ages 14-17), we collect the same types of info but we're extra careful with it. Parents can access and manage their kid's data anytime, and we'll never market directly to minors.

If you're a parent and have questions about what we collect for youth programs or our athletic performance training for younger athletes, give us a call at (604) 555-8947.

We might update this policy from time to time - new laws, new services, whatever comes up. When we make significant changes, we'll let you know via email and post a notice at the gym.

The "Last Updated" date at the top of this page will always show when we last made changes. We encourage you to check back occasionally, especially if you're the type who actually reads these things (respect).

If you keep using our services after we post changes, that means you're cool with the updated policy. If you're not cool with it, let's talk - or if you need to, you can cancel your membership.

Got questions about this policy? Want to exercise your rights? Just want to chat about how we handle your data? We're here for it.
